How to prepare monthly owner statements for holiday rentals
A clear owner statement builds trust and cuts down on questions. Here is what to include and how to keep it consistent every month.
What every statement should show
Owners want to see where the money came from and where it went. Include:
- Each booking with dates, nights and booking site.
- Gross booking income.
- Your management commission.
- Costs such as cleaning, linen, and maintenance.
- VAT, if you are VAT-registered.
- The net amount due to the owner.
Commission and VAT in South Africa
Agree your commission percentage in writing with each owner. If your business is VAT-registered, VAT (currently 15%) is usually charged on your commission and fees. Confirm the right treatment for your business with your accountant.
Remember listing-site fees
Sites such as Airbnb and Booking.com take their own commission before paying you. Record what the guest paid and what the site kept, so the owner can see the full picture.
Automate the repetitive part
Building statements in a spreadsheet each month is slow and easy to get wrong. A tool that already knows your bookings, commission and costs can produce each owner’s statement in seconds, and let owners download it themselves.
